This is a critical notification regarding an important upcoming change to the hosting packages offered by Pro Hosting 365. After extensive review and to focus on our core web hosting infrastructure, we have made the strategic decision to discontinue our bundled cPanel email hosting services. This change will be effective from July 31, 2025.

Please be assured that this change ONLY affects the email hosting portion of your package. All your general website hosting services, website files, databases, and other cPanel features not directly related to email accounts will remain as normal and are entirely untouched by this decision. Furthermore, your current website hosting prices will also remain as normal.

This email requires your immediate attention regarding your email services. All email accounts and associated data hosted on Pro Hosting 365 servers will be permanently removed after July 31, 2025. It is crucial that you migrate your email services to an alternative provider before this date to avoid loss of data and interruption to your email communications.

We understand the critical role email plays in your operations. While we will no longer offer this service directly, we are committed to guiding you through this transition. We highly recommend migrating your email services to a dedicated and robust platform such as Google Workspace (formerly G Suite).

Google Workspace offers a comprehensive suite of tools, including professional Gmail (e.g., yourname@yourcompany.com), Google Drive cloud storage, Google Calendar, Google Meet, and more, known for its reliability, security, and advanced collaboration features.

Migrating Your cPanel Email Services to Google Workspace:

Migrating from our cPanel email to Google Workspace involves several steps. Below is a general guide to help you through this process:

  1. Sign Up for Google Workspace:
    • Visit the Google Workspace website to choose a plan that suits your needs and create your account. You will use your existing domain name.
  2. Verify Your Domain Ownership with Google:
    • Google requires domain verification to confirm you own your domain. This is typically done by adding a TXT record (provided by Google during their setup wizard) to your domain’s DNS settings. You can usually manage DNS records via your cPanel’s “Zone Editor” or through the interface where your domain is registered if it’s not managed via our cPanel.
  3. Create User Accounts in Google Workspace:
    • Within the Google Workspace Admin console, create the new email accounts for your users (e.g., user@yourcompany.com).
  4. Migrate Your Email Data from cPanel to Google Workspace:
    • Google Workspace offers a Data Migration Service that can migrate emails directly from IMAP-enabled servers, which includes our cPanel email hosting.
    • Accessing cPanel Email for Migration: To use Google’s migration tool, you’ll generally need:
      • IMAP Server Name: This is often mail.yourdomain.com or your server’s hostname.
      • Username: Your full cPanel email address (e.g., user@yourdomain.com).
      • Password: The password for that cPanel email account.
      • Port: Usually 993 for IMAP over SSL.
    • Using Google’s Data Migration Service:
      • Log in to your Google Workspace Admin console.
      • Navigate to ‘Data Migration’.
      • Set up a new migration, selecting “Other IMAP server” (or similar) as the source.
      • Enter the IMAP details for your cPanel email accounts. Google provides detailed instructions for migrating individual or multiple mailboxes.
  5. Update Your Domain’s MX Records (Crucial Final Step for Email Delivery):
    • Once your data is migrated and you are ready to switch, you must change your domain’s MX (Mail Exchange) records to point to Google’s mail servers. This is what directs new incoming emails to Google Workspace.
    • In cPanel:
      • Log into your cPanel account with Pro Hosting 365.
      • Go to the “Zone Editor” (under the Domains section).
      • Find your domain and click “Manage”.
      • Delete existing MX records that point to our local server. There will likely be one primary MX record associated with your domain name.
      • Add Google Workspace’s MX records. For most new Google Workspace accounts, the primary record is:
        • Priority: 1
        • Destination: smtp.google.com

        (Google will provide the exact MX records to use during their setup. Some older setups might involve multiple MX records with different priorities).

      • After updating MX records, go to “Email Routing” in cPanel (under the Email section). Select your domain and ensure “Remote Mail Exchanger” is selected. Click “Change”.
    • DNS Propagation: Changes to MX records can take some time (from a few minutes up to 48-72 hours) to propagate across the internet. Plan this cutover carefully.

Assisted Migration Option:

We understand that migrating email services can be complex. Pro Hosting 365 can offer assisted migration support for transitioning your email accounts to Google Workspace. This service will be subject to a fee based on the number of email accounts and the total data capacity to be migrated. Timeline and Critical Action Required for Email Services:

  • Immediately – July 31, 2025: We strongly urge you to begin planning and executing your email migration to Google Workspace or another provider of your choice. This timeframe should allow for thorough setup, data migration, and testing for your email services.
  • July 31, 2025: EMAIL SERVICE DISCONTINUATION. Our cPanel email hosting services will cease to operate. All email accounts and their data remaining on our servers will be permanently deleted.
